How LeadSync Pushes Patient Inquiries into DocEngage

DocEngage is purpose-built for healthcare -- hospitals, clinics, diagnostic centres, and multi-care-centre groups use it to manage the full patient journey from initial inquiry through appointment, intake, and follow-up. LeadSync writes each Facebook, Google, LinkedIn, or TikTok lead into DocEngage as a new patient inquiry with the inquiry classified as Online / Web and the source stamped as the originating ad platform, so the patient lead lands in your DocEngage Leads queue ready for the front-desk or BDC team to action.

Authentication is your DocEngage account email and password (joined with a semicolon and pasted into the connection). LeadSync calls mobileLoginAction to obtain an OAuth bearer token with Leads,Providers scope, caches it for the lifetime of expires_in, and POSTs each new lead to /api/v2/push_lead. Tokens refresh automatically when they age out -- no maintenance once the connection is live.

Mapping Lead Form Questions to DocEngage Fields

DocEngage's patient model carries the standard inquiry attributes plus a healthcare-specific set: leadName, leadEmail, leadMobile, leadCareCenter (which facility the inquiry is for), leadCity / leadLocality, leadRequestedService (the treatment or consultation the patient is asking about), caseCategory, enquiryKeyWords, campaignName, serviceDate, and a free-text leadNote. The LeadSync field mapping screen exposes each one so a Facebook lead form question like "Which clinic location?" maps cleanly to leadCareCenter rather than getting flattened into a generic notes field.

For multi-location healthcare groups, this distinction matters: a patient who asks for "Knee replacement consultation at Bandra branch" arrives in DocEngage with leadRequestedService = Knee replacement consultation and leadCareCenter = Bandra -- which means DocEngage's built-in routing rules can assign the inquiry to the right specialist queue and the right facility coordinator without any manual triage.

Patient Lead Workflow After Ingestion

Once the inquiry lands in DocEngage, the platform's patient-engagement workflow takes over: automated SMS / WhatsApp / email confirmation to the patient, task creation for the assigned BDC agent, escalation rules if the inquiry isn't actioned within an SLA window, and conversion tracking through to a booked appointment. None of this requires LeadSync's involvement after the initial push -- the lead enters the same pipeline as inquiries from your website, walk-ins, and call-centre intake.

For paid-social attribution, the enquirySource is set per LeadSync connection (Facebook for Facebook lead ads, Google for Google lead form extensions, etc.), so DocEngage's lead-source reports can attribute booked appointments and revenue back to the originating ad platform. Run multiple paid channels and each one shows up in your inquiry-source funnel as its own line.

Frequently Asked Questions

In LeadSync, choose DocEngage as your destination and enter your DocEngage login email and password (the same credentials you use for the DocEngage portal). LeadSync uses these to obtain an OAuth bearer token via the mobileLoginAction endpoint and caches it. The token refreshes automatically once it expires, so you set the connection up once and leave it running.
In your DocEngage Leads / Patient Inquiries queue. Each inquiry is classified as Online / Web with the source set to the originating ad platform (Facebook, Google, LinkedIn, or TikTok), so it appears in the same queue your front-desk or BDC team uses for website inquiries -- ready for follow-up calls, automated WhatsApp / SMS confirmations, and appointment booking.
Map a question on your lead form (e.g. "Which clinic location?") to the leadCareCenter field in the LeadSync mapping screen. DocEngage uses leadCareCenter to drive its built-in routing rules, so the inquiry lands in the right location's queue automatically and the right facility coordinator picks it up without any manual triage.
Yes. Map your service / treatment lead form question to leadRequestedService. This populates the corresponding DocEngage field so specialist queues, automated triage rules, and post-inquiry routing all work the same way they do for website inquiries.
leadName, leadEmail, leadMobile, leadCareCenter, leadCity, leadLocality, leadRequestedService, caseCategory, enquiryKeyWords, campaignName, serviceDate, and the free-text leadNote field. Standard contact fields (name, email, mobile) flow through automatically; the healthcare-specific fields appear in the LeadSync field mapping dropdown so you can route each lead form question to the right DocEngage attribute.
No. The integration uses your standard DocEngage user credentials (email + password) to authenticate via the mobile login endpoint. LeadSync exchanges these for a short-lived bearer token automatically. No separate API key provisioning is required from DocEngage support.
Yes. Patient inquiries pushed in via LeadSync enter the standard DocEngage workflow, so any automated confirmation messaging, task assignment, or BDC escalation rules you have configured fire automatically. The inquiry is structurally identical to one created from your website or call centre.
Yes. LeadSync supports DocEngage as a destination for lead forms across Facebook, Instagram, Google Ads lead form extensions, LinkedIn Lead Gen Forms, and TikTok Lead Generation. Each ad source is its own LeadSync connection, so you can attribute booked appointments back to the originating paid channel using DocEngage's lead-source reporting.
